Who is responsible for your data

What we collect, and why

When you place an order: your name, email address, phone number, delivery address and billing address. We need these to take payment, make the right garments and get them to you. The lawful basis is performance of a contract.

When you send an enquiry, request a size set or book a consultation: the details you type into that form — typically name, company, email, phone, team size and what you need. The lawful basis is our legitimate interest in answering people who ask us for a price.

When you upload artwork: the logo file itself, and the mockups you generate from it. We hold these so production makes what you approved.

When you create an account: your email address, a hashed password, and any name, company and phone you choose to add. We never store your password itself, only a one-way hash of it.

When you allow cookies: analytics about which pages are visited. This is optional, off until you accept, and the site works identically if you decline.

Card payments

We do not see, handle or store your card details. Checkout is hosted by Stripe, and your card number is entered on Stripe's own page, never ours.

Stripe passes back only what we need to fulfil the order: your name, email, phone, delivery and billing address, and confirmation the payment succeeded. Stripe Payments Europe Ltd acts as an independent controller for the payment itself and publishes its own privacy policy.

Who else processes your data

Stripe — payment processing and the record of paid orders.

DreamHost — the hosting that runs this site, where accounts, enquiries and uploaded artwork are stored.

Google Analytics — page analytics, and only if you accept cookies. IP addresses are anonymised.

Our decoration partner receives the artwork and the garment specification needed to produce your order, and nothing more.

We do not sell your data, and we do not share it for anyone else's marketing.

Cookies

Strictly necessary cookies keep your basket and your sign-in working. These cannot be turned off without breaking the site, and no consent is required for them.

Analytics cookies are set only after you press Accept on the cookie banner. Choose No thanks and none are written. You can change your mind by clearing this site's data in your browser, and the banner will ask again.

How long we keep things

Order records: six years after the end of the financial year they fall in, because HMRC requires it.

Uploaded artwork: kept while you are an active customer, so reorders match the last run exactly. Ask us to delete it and we will.

Enquiries that never became orders: two years, then deleted.

Account details: until you ask us to close the account.

Your rights

Under UK GDPR you can ask for a copy of the data we hold about you, ask us to correct it, ask us to delete it, object to processing based on legitimate interest, or ask us to restrict it. Where we rely on your consent — cookies — you can withdraw it at any time.

Email info@workwear.ltd and we will respond within one month. We do not charge for this.

If you are not satisfied with our response you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Security

The site runs over HTTPS throughout. Passwords are stored only as hashes. Uploaded artwork is held outside the public web root and is never served from a guessable URL — it is reachable only to you when signed in, and to us.

No system is perfect. If we ever suffer a breach that puts your rights at risk, we will tell you and the ICO within the statutory time limits.

Children

This is a business-to-business service and is not directed at children. We do not knowingly collect data from anyone under 16.

Changes to this notice

If we change how we handle data we will update this page. It was last reviewed in August 2026.
